Special Events Procedures

The following information shall constitute the University Police Procedure for special events.

  1. Special events are defined as those events held on university property and/or in university facilities where a concern for the protection of participants and/or property exists. Determination is made on a request by request basis.
  2. The University Police in conjunction with the Office of Special Events will review all requests prior to approval.
  3. Prior to holding a special event:
    1. Contact University Police (Richard Linde, Assistant Director for Special Events) at least 4 weeks in advance.
    2. Be prepared to identify speakers, entertainment groups, etc.
      • Know if they are controversial or encountered difficulty at last places of performance.
      • Know last two (2) places of performance or engagement.
      • Have contact information for group leader/manager.
    3. Know if cash is being collected at the event. Have a plan for safeguarding or depositing.
    4. Know if alcohol is being served at the event.
    5. Know estimates of expected attendance.
    6. Have copy of contract.
    7. Know that University Police is the exclusive security provider on university property/facilities. ABSOLUTELY NO PRIVATE SECURITY IS PERMITTED.
    8. A signed SPECIAL EVENT REQUEST FORM must be on file prior to the event. Download the form: PDF (20KB) | Word (39KB).
    9. The completed Special Event Request Form should be turned in to 150 Student Union.
    10. For special events in Harriman Hall (the South Campus Student Center), contact the Harriman Operations Office (Rm.102) at least (10) business days in advance of the tentative date of event so that all required arrangements can be made in a timely manner, and a properly completed Special Event Security Request Form is on file in the Operations Office (Tel.829-3541/FAX 829-2493) no less than (5) business days prior to the event.
